Summer: Make sure new students are registered for the PPARC introductory summer school.
Michaelmas Term: Arrange introductory meeting for new students (usually in week 0); involve Head of Subdepartment and Network Systems Manager. Check that first and second year interviews have been completed and report to Staff Committee; take action if necessary. Submit PPARC Report Forms on PPARC students who have completed year 1 (deadline end October); forms should arrive in Office. Arrange "Transfer of Status", PRS to D.Phil., (form GSO2) for students who have satisfactorily completed year 1. Arrange "Confirmation of Status" (form GSO14) for students who have satisfactorily completed year 2. Arrange letters from University (Graduate Studies Office) for foreign funding bodies. Check that Graduate Lecture Course is up and running. Check that application forms are up-to-date (files held by Office). Arrange talks to Oxford students re postgraduate studies on Wed of week 2 HT, liaise with Beverly Roger as astro and particle alternate who goes first.
Hilary Term: Organise recruitment of new graduate students Arrange publicity - particularly web pages Review applications Prepare interview schedule Invite eligible candidates to interview and reject others Arrange interview panels and reception of interviewees Monitor interviews and participate as required Negotiate with candidates to whom we wish to offer PPARC awards Reject unsuccessful candidates Review overseas candidates and offer/reject as required Home students must complete full University application form; liaise with Graduate Admissions Office and colleges.
Trinity Term: Students awarded places for October, 2002: Send out Nomination Forms to PPARC students and make sure these are returned in good time for the PPARC deadline Circulate information about PPARC Introductory Course to new students Students already on course: Circulate notice about 1st/2nd-year reports and deadline for submission Arrange interviewers and collect reports on interviews for presentation to Staff Committee
General: Deal with enquiries about admission and funding Talk with prospective students who request an informal visit Represent Astrophysics on the MPS Division's Graduate Studies Panel Deal with any correspondence arriving from the Divisional Office or the Graduate Studies Office
Students already on course: Review "Supervisor's Reports" received from Graduate Studies Office and take any necessary action Help students with information about formalities of thesis preparation and submission, travel support etc. Write letters for overseas students (visas, conferences, funding agencies etc.) Allocate funds for travel to conferences, workshops, etc. (Scott Fund, Johnson Fund, Departmental funds) Organise "Transfer of Status", "Confirmation of Status" Approve "Appointment of Examiners", "Examiners' Reports and Recommendations" Prepared by GS (19/6/02)
